How to record your voicemail greeting and message meaning (Yealink Phones)

Follow the instructions and prompts. An explanation of the different messages is described below.


Note the following explains the different voicemail messages available. Each serves a different purpose depending on the call scenario:


 1. Unavailable Message

  • Used when: The extension isn't answered.
  • Purpose: Tells the caller you're not available and invites them to leave a message.
  • Example: “Hi, this is John. I’m currently away from my desk. Please leave a message.”

 2. Busy Message

  • Used when: You're on another call or have Do Not Disturb enabled.
  • Purpose: Lets the caller know you're currently busy.
  • Example: “Hi, I’m on another call right now. Please leave your name and number, and I’ll get back to you.”

️ 3. Record Your Name

  • Used when: The system needs to identify you in voicemail menus or directories.
  • Purpose: Plays your recorded name internally (not a greeting).
  • Example: “John Smith” (spoken by you, used for identification).

 4. Temporary Greeting

  • Used when: You want to override all other greetings temporarily.
  • Purpose: Plays a custom message for a limited time—ideal for vacations, holidays, or out-of-office notices.
  • Behavior: When active, it replaces both unavailable and busy messages. Once deleted, your standard greetings resume.
  • Example: “Hi, I’m out of the office until Monday, September 22nd. Please leave a message and I’ll return your call when I’m back.”
